<p>They were entirely comfortable with the way FOB2 worked.  Now they have to learn something new.  Worse, it might do more things, but it doesn&#8217;t do all the things they&#8217;ve grown to like.</p>
<p>It feels like a step backward! (Well that isn&#8217;t quite what they&#8217;ve said, but the feeling is there all the same).</p>
<p>So now it&#8217;s time for me to get into using it for real, and see if the same thoughts strike me.</p>
<p>You&#8217;ll have seen in <a href="http://www.frontofficebox.com/FOB_Knowledgebase/2009/12/02/email-what-do-you-think/">Email &#8211; What Do You Think</a> one cause for comment is the assign email function.  It&#8217;s less flexible now.</p>
<h3>So how did I get on?</h3>
<p>Sitting in my dashboard are maybe 10 incoming emails.  Funnily enough none of them relate to existing plans or actions.  This brings me immediately up against the restricted functionality.  There are only three options 1) goto plans and set up plan/action 2) leave the emails on the Dashboard or 3) delete them.  Good news here. The Delete button makes it much easier to get rid of stuff at this point.</p>
<p>Just like everybody else who&#8217;ll be using the app I&#8217;m in a hurry.  I just want to get the damned email off my Dashboard and make a start on the huge pile of work waiting for me.  Why can&#8217;t I simply create a new action in a ToDo list and just file the message away? Taking my own medicine, I clicked the Plans tab to do the job properly. GRRRrrrr.</p>
<h3>Horror of Horrors.</h3>
<p>Now when I create the Plan I have to put in some Milestones, then add Actions to each of them before going back to the Dashboard to get rid of the emails.  Which idiot decided to do this with what was perfectly good software?  Well it was me wasn&#8217;t it <img src='http://www.frontofficebox.com/FOB_Knowledgebase/wp-includes/images/smilies/icon_sad.gif' alt=':-(' class='wp-smiley' />  so I&#8217;d better bloody well make it work.</p>
<h3>The Task in Hand</h3>
<p>Most of the emails related to a grant application we&#8217;re considering for medical research. Not necessarily complicated but multi dimensional with several objectives we need to be achieve.  All of these things are in my brain somewhere, but not planned, or even properly understood.  I really shouldn&#8217;t pay lip service to the planning.  That would just bite me in the ass later, else I&#8217;d be stressed out trying to remember what I couldn&#8217;t forget.</p>
<h3>So here&#8217;s the plan I came up with</h3>
<ul>
<li>Plan = Investigate potential for new grant application due 12/31/2009</li>
</ul>
<ul>
<li> Milestone 1 = Agree scientific objectives due 12/30/200</li>
<li> Action 1 = Ian organise conference call for discussion scheduled 12/11/2009</li>
</ul>
<ul>
<li>Milestone 2 = Test Outline Plan with EU Call Manager due 12/30/2009</li>
<li> Action 2 = Ian contact xxxxx@xxxxx for introduction and meetings</li>
</ul>
<ul>
<li> Milestone 3 = Check Project Officer support for our bid due 12/30/2009</li>
<li>Action 3 = Nick call Christoff and test the water due 12/15/2009</li>
</ul>
<ul>
<li>Milestone 4 = Confirm Consortium Membership due 12/30/2009</li>
<li>Action 4 &#8211; Steve check with Ivan if XXXXX Inc. wants to join the application due 12/8/2009</li>
</ul>
<p>This didn&#8217;t take more than ten minutes, including assigning the emails from Dashboard.  Now I&#8217;ve planned my objectives, we&#8217;ll be able to make a bid/no bid decision on December 31st.  I&#8217;ve assigned and scheduled tasks and I&#8217;ve got everything set up for my review process.</p>
<p>Was this worth the effort?  Too right it was, and Front Office Box made me do it, today.  If time wasn&#8217;t available I&#8217;d have left the incoming email on the Dashboard and it would have been there to remind me tomorrow, and the next day.</p>
<h3>I&#8217;ve done the job properly, so it won&#8217;t need doing again.</h3>
<p>Henri Fayol taught us about Plan Act Review a hundred years ago.  Management consultants have promoted it for more than 50 years.  Front Office Box gives a set of tools to implement this best practice without doing anything different.</p>
<h3>From inbox to management excellence</h3>
<p> in a few short steps &#8211; a process we&#8217;ll definitely use from now on.</p>

<p>We&#8217;re looking for people&#8217;s ideas here to help direct our development of Front Office Box.  Any thoughts you have and want to share?  Please add them as comments at the bottom of the page.  The more people we can get to contribute, the better will be the application which comes out of it.</p>
<h4>Background</h4>
<p>Seems a long time ago now when we decided to enable the workflow to be driven by email.  It started with simply being able to file important emails where we could find them, and where they made sense &#8211; linked to companies, people and opportunities.</p>
<p>For months, with the help of some very patient users, we struggled through all sorts of problems with the technology (funnily enough email isn&#8217;t a standard internet technology and doesn&#8217;t plug and play the way we might expect).</p>
<p>The original workflow was simply assign to Opportunity/Action &#8211; in the background we linked the record to companies and people.</p>
<p>Usage showed a number of problems, firstly with identifying the correct opportunity and then secondly, easy access to the planning and scheduling functions.  We addressed these with a) adding company name to the opportunity name displayed, b) create new action and c) greying out the links to the assigned record until next refresh.</p>
<p>With this users could more easily find the right opportunity and it was simple to add a new action to the existing opportunity.  The greyed out links gave direct access to the Action, Opportunity and Company records.</p>
<h4>This left us with a number of issues we still haven&#8217;t solved</h4>
<p>.<br />
Naturally enough people liked the idea of forwarding or copying email to FOB &#8211; then driving planning and scheduling from the dashboard. But then they wanted to be able to create new companies, opportunities and people right there, on the dashboard.</p>
<p>We could put all those links on the dashboard but at a serious cost.</p>
<p>  1. It would cut right across our Plan>Act>Review process<br />
  2. It would add lot of complexity to the dashboard and confusion to the workflow<br />
  3. Under the covers the app would get horribly complicated</p>
<p>None of these would be good news for our users, or for us, even though it sounds simple.</p>
<h4>Our Fundamentals</h4>
<p>Building software which gives everybody what they want results in Microsoft, and we aren&#8217;t going to do that. We have to restrict what we do to the things which create value for users at the lowest possible cost to them in terms of complexity and to us in terms of development and maintenance.  Inevitably this means something for everybody, and everything for nobody.  We have to use our ideas to provide what users don&#8217;t yet know they want and then persuade them they want it.  And we have to explain they can&#8217;t have what they want if it doesn&#8217;t make sense to everybody else.</p>
<p>Plan>Act>Review wasn&#8217;t our idea.  It was first described 100 years ago and has been the central concept of all management consulting for the last 50.  In our version it&#8217;s really simple &#8211; Plan what you want do, Act in accordance with the Plan, Review progress and revise the Plan to accommodate what we learned.  The Japanese called it Continuous Improvement.  We just built it into our workflow because it&#8217;s the right way to do things.  Otherwise FOB would just be a series of lists &#8211; just like all the other software you might use.</p>
<p>There are two factors which kill software businesses a)cost of sale and b) redevelopment to accommodate new technology.  The more complexity we build under the covers the harder it becomes to change anything.  In software the law of diminishing returns kicks in much earlier than people would expect.  Development needn&#8217;t be expensive, and maintenance can be minimal if it&#8217;s built properly.  But redevelopment with backward compatibility is a nightmare.  Keeping the code under the covers as simple as possible is our best guarantee of still being there to support users in the business when everybody else has gone bust.</p>
<h4>So here&#8217;s the question we like help with, in the context of those fundamentals</h4>
<blockquote><p>Communication driven workflow is going to become ever more important, but not limited to email.  We can now send our voicemail and Twitter/Friendfeed Direct Messages to the Dashboard.  At some point soon we&#8217;ll be doing the same with Wave messages.</p>
<p>Given FOB is a management application, for relationships, plans and schedules &#8211; How would you like to drive it from your incoming communications.  How would you prefer to go from message to create a new person record, create a new company record, create a new plan record, add milestones, add actions and assign that message to where it makes sense to keep it.

<p>Seriously though we are now running the full version of the new app against the production database, making some final checks and moving all the attachments over to our server at Amazon S3.</p>
<p>All of this means deploy to production will be any day, from now.  We are being totally paranoid about data integrity and business continuity, and really thankful for both the diligence and experience of Marc (that&#8217;s him at the top of the page).  He really is a star but I refuse to introduce him to anybody &#8211; he&#8217;s far too busy as it is.</p>
<p>There are some things we haven&#8217;t done yet and maybe won&#8217;t for a while.</p>
<li>Import/Export is a major pain &#8211; we&#8217;ll do a special for anybody wanting a complete dump of their data</li>
<li>Upload Address Book is an even bigger problem &#8211; we&#8217;ll look at several products in the market and implement the best asap</li>
<li>There are some pages which don&#8217;t present quite as cleanly as we&#8217;d like &#8211; we&#8217;ll get to them once we&#8217;re using the app in anger</li>
<li>All of the FAQ and other user support stuff needs to be rewritten, including a bunch of video tutorials</li>
<p>We had to make a choice between adding value to existing users or waiting till we had everything ready for new registrations, and the first option won.</p>
<p>In the meantime, and as always, our support team is standing by to provide the very best in customer service.</p>

<p>The centre piece of our strategy for <a href="http://frontofficebox.com">Front Office Box</a> is a combination of resources helping users exploit the Internet.  We haven&#8217;t talked about this much because quite what the starting point would be, and which tools we might use, hasn&#8217;t been that clear.  But in the background we have been working hard at figuring it all out. Now we&#8217;re ready to explain what this means for our users, how it will help them do more business at lower costs, and how we&#8217;ll provide it.<span id="more-1238"></span></p>

<p>They&#8217;ll be able to profile their business so other members know who to talk to when they&#8217;re in the market.</p>
<p>They&#8217;ll be able to get notice whenever a member asks us to help with sourcing.</p>
<p>They&#8217;ll get preferential terms from external businesses.</p>
<p>They&#8217;ll be able to leverage a community of people just like them, and only people just like them.</p>

<p>We have the technology working now, in a pilot implementation and are looking for people to help us try it out.  Let us know if you&#8217;re interested in help shape the way it works, please.</p>
<h3>Moving to Chargeable Accounts</h3>
<p>Some time soon Front Office Box will introduce pricing for Professional accounts.  All existing accounts, provided they re-confirm their interest will be allocated life time, free of charge, multi user, Professional accounts.  New registrations will only be free for Personal CRM accounts.  New Professional accounts will be chargeable, at rates we determine.</p>

<p>A few weeks ago it shut down <a href="http://www.frontofficebox.com/FOB_Knowledgebase/2009/09/01/bt-shuts-down-bt-workspace/">BT Workspace</a> having charged people good money to use this &#8220;BT&#8221; service, it then decides the deal isn&#8217;t worth it and shuts the service down.  No transition path and no support.  BT just told everybody &#8220;your contract wasn&#8217;t with BT it was with a 3rd party&#8221;.</p>
<p>Now it wants to provide people with SEO and Adwords management.</p>
<p>I wonder where they&#8217;re getting that service and how long it will last.</p>
<p>Don&#8217;t anybody be fooled by the big name here.  BT is a dying corporation managed by a bunch of jerks who think they have a right to exploit what&#8217;s left of their monopoly, and Devil Take the Hindmost.<span id="more-925"></span></p>

<p>There&#8217;s also been a fair amount of comment in the intelligent media about the way companies (and particularly banks)  have been screwing the rest of us with quite gay abandon.</p>
<p>It&#8217;s seemed to me for some time the very nature of companies, the ways they&#8217;re organised and managed, operates against the interests of most of us.  Perhaps the best current example is the health insurers in the USA who been pilloried for massive increases in executive pay whilst charging the customer more, for less cover.</p>
<p>Earlier this year Lord Myers (UK governments Mr Fixit for financial markets) made some interesting comments about the way companies become loose cannon when only pension funds (as shareholders) hold management to account for the way they do things.</p>
<p>The interview recorded in this video does an excellent job, in typical Moore style, of trailing the movie.</p>

<p><img style="float: left; margin: 2px 10px 0px 0px;" title="HealthDay news image" src="http://www.healthday.com/images/editorial/skullxray_SS36090.jpg" border="0" alt="HealthDay news image" width="170" height="170" />FRIDAY, Sept. 25 (HealthDay News) &#8212; People who suffer serious head injuries are more likely to survive if they have alcohol in their bloodstream, a new study suggests.</p>
<p>Data on more than 38,000 people with such injuries showed that 9.7 percent of those with no trace of alcohol in the bloodstream died in the hospital, compared to a 7.7 percent death rate for those whose tests showed the presence of alcohol, according to a report in the September issue of the <em>Archives of Surgery</em>.<span id="more-912"></span></p>
<p>While the injured people whose blood contained alcohol were more likely to have complications (12.9 percent versus 9.8 percent), they spent less time on a ventilator or in the intensive care unit, said researchers at Cedars-Sinai Medical Center in Los Angeles.</p>
<p>The information came from analysis of the 53 percent of 72,294 cases listed in the National Trauma Data Bank in which alcohol testing was done. Traces of alcohol were found in 37.9 percent of those tested.</p>
<p>Smaller human studies have shown the same effect, as have animal studies, the report said. The animal studies indicated several possible mechanisms for alcohol&#8217;s protective effect, such as diminished activity of catecholamines, the &#8220;fight-or-flight&#8221; hormones that include adrenaline, the researchers wrote.</p>
<p>&#8220;Our group has been working on blunting these catecholamine responses,&#8221; said study author Dr. Ali Salim, an associate professor of surgery at Cedars-Sinai. &#8220;We came across animal studies showing that alcohol can do that in brain injury, so we looked at our largest database to see if we could find a correlation.&#8221;</p>
<p>The study &#8220;raises the intriguing possibility that administering ethanol [alcohol] to patients with brain injuries may improve outcome,&#8221; the report said.</p>
<p>But it&#8217;s a possibility that requires intensive study before being put into medical use, said Dr. Homer C.N. Tien, an assistant professor of surgery at the University of Toronto, who led a study that found similar results three years ago.</p>
<p>&#8220;It just raises a possibility,&#8221; Tien said of the new study. &#8220;The message is that we should look at this more closely.&#8221;</p>
<p>What would be needed would be more studies in both animals and humans, he said. &#8220;Then we might propose a trial to give alcohol to people who have brain injury.&#8221;</p>
<p>The higher incidence of complications seen in people who have alcohol in their blood when they suffer brain injuries is understandable, Tien said. &#8220;People who drink and drive tend to have alcohol abuse or dependence problems, so they are more likely to have health issues,&#8221; he said.</p>
<p>And alcohol has to be handled carefully in medicine and real life, Tien said. &#8220;The report was very careful to say that alcohol has a huge potential to destroy life,&#8221; he said. &#8220;From a public health point of view, it is not something we should mess with. But ethanol may have a pharmacological role if administered in discrete amounts in certain circumstances.&#8221;</p>
<p>Dr. M. Sean Grady, chairman of the department of neurosurgery at the University of Pennsylvania, was even more cautious.</p>
<p>&#8220;I have a lot of caveats about the information they provide,&#8221; he said. &#8220;Only half the people in the database had their blood alcohol measured, so we have to worry about their conclusions.&#8221;</p>
<p>While Grady said &#8220;the novel use of a large database is a major contribution, I&#8217;m not confident that their observation is true or not.&#8221;</p>
<p>Like Tien, Grady said more research on the issue is needed. &#8220;Instead of using an administrative database, we could do a number of clinical trials for traumatic brain injury collecting ethanol data as part of the studies,&#8221; he said. &#8220;Those studies would have more detail and could give a better sense of whether ethanol plays a positive or negative role.&#8221;</p>
<p>&#8220;Mechanism-wise, we need to figure out more about why this happens,&#8221; Salim said. &#8220;We need to know about why it happens and how much alcohol we might need. Higher levels seem to worsen outcome. Also, we have to look at timing. A lot needs to be worked out.&#8221;</p>
<p>Funding for studies of alcohol in brain injury would not be easy to get &#8220;because you&#8217;re talking about an agent that contributes to brain injury,&#8221; Salim said. &#8220;The key is to look at mechanism, and try to find alternatives for that mechanism.&#8221;<br />
